This page covers how Rapid Squares, LLC handles your information, the terms that apply when you order a report, what our accuracy guarantee does and doesn’t cover, and how refunds work. It applies to rapidsquares.com and to every report we deliver.

1. Privacy Policy
Rapid Squares, LLC (“Rapid Squares,” “we,” “us,” or “our”) operates rapidsquares.com and the roof measurement reporting services available through it (the “Services”). This Privacy Policy explains what information we collect, why we collect it, who we share it with, and the choices you have.
By using the Services, you agree to the practices described here. If you do not agree, please do not use the Services.
1.1 Information you give us
- Account information — name, company name, email address, phone number, password, and billing address.
- Order information — the property address you submit, the report type and options you select, any notes, sketches, photos, or claim references you attach, and the delivery email address.
- Payment information — processed by our third-party payment processors. We do not store full card numbers on our servers; we retain only the last four digits, card brand, and transaction identifiers needed for receipts, refunds, and accounting.
- Communications — messages you send us through support forms, email, chat, or phone, including any attachments.
1.2 Information we collect automatically
- Device and usage data — IP address, browser type and version, operating system, referring URL, pages viewed, timestamps, and actions taken in your account dashboard.
- Cookies and similar technologies — used to keep you signed in, remember cart and order state, measure site performance, prevent fraud, and understand how the site is used. You can control cookies through your browser settings, though disabling them may break checkout and account features.
- Analytics — we use third-party analytics providers that set their own cookies and receive usage data subject to their privacy policies.
1.3 Information from third parties
To produce a report, we obtain aerial, satellite, and other imagery, along with parcel, geocoding, and property data, from third-party data providers. This data is tied to the property address you submit, not to you personally. We may also receive fraud-screening signals from our payment processor and, if you sign up through a partner or referral, basic contact details from that partner.
1.4 How we use information
- To create, deliver, and revise the reports you order.
- To create and maintain your account and order history.
- To process payments, issue receipts and refunds, and handle chargebacks.
- To provide customer support and respond to accuracy or revision requests.
- To monitor, secure, troubleshoot, and improve the Services.
- To detect and prevent fraud, abuse, and violations of our Terms.
- To send transactional messages such as order confirmations, delivery notices, and account or policy updates.
- To send marketing messages where permitted — you can opt out at any time using the unsubscribe link or by contacting us. Opting out of marketing does not stop transactional messages about orders you have placed.
- To comply with legal obligations and enforce our agreements.
1.5 How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only as follows:
- Service providers — hosting, imagery and property data providers, payment processing, email delivery, analytics, customer support tooling, and accounting. These providers may use the information only to perform services for us.
- Report recipients — if you direct us to deliver a report to an additional email address, adjuster, carrier, homeowner, or software platform, we deliver it as instructed.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
- Legal and safety — when required by law, subpoena, or court order, or when we believe disclosure is reasonably necessary to protect our rights, our users, or the public.
- With your consent — for anything else.
We may create and use aggregated or de-identified data, which does not identify you, for analytics, benchmarking, and improving our measurement processes.
1.6 Data retention
We keep account and order records, including delivered reports, for as long as your account is active and afterward as needed to provide support, resolve disputes, honor the Accuracy Guarantee, and meet tax, accounting, and legal requirements. You may request deletion of your account, subject to records we are required or permitted to retain.
1.7 Security
We use commercially reasonable administrative, technical, and physical safeguards — including encryption in transit, access controls, and least-privilege administration — to protect information in our care. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Keep your password confidential and notify us promptly if you believe your account has been compromised.
1.8 Your rights and choices
Depending on where you live, you may have the right to request access to the personal information we hold about you, request correction of inaccurate information, request deletion, obtain a portable copy, opt out of targeted advertising or the sale of personal information, and appeal a decision we make about your request. Texas residents have these rights under the Texas Data Privacy and Security Act; residents of California and other states with comprehensive privacy laws have comparable rights.
To exercise a right, contact us using the details in the Contact section. We will verify your identity before acting on a request and will respond within the timeframe required by applicable law. If we decline a request, you may appeal by replying to our response; if your appeal is denied, you may contact your state attorney general.
1.9 Do Not Track
Browsers and some extensions send “Do Not Track” signals. There is no common industry standard for responding to them, so our site does not currently respond to DNT signals. We do honor recognized opt-out preference signals where applicable law requires it.
1.10 Children’s privacy
The Services are built for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
1.11 Third-party links
Our site and reports may link to third-party websites and tools. We are not responsible for their content or privacy practices. Review their policies before providing information.
1.12 Users outside the United States
The Services are operated from the United States, and information we collect is processed and stored in the United States. If you access the Services from another country, you consent to that transfer and processing.
1.13 Changes to this policy
We may update this Privacy Policy from time to time. We will change the “Last updated” date above and, for material changes, provide additional notice by email or through your account. Continued use of the Services after an update means you accept the revised policy.
2. Terms & Conditions
These Terms & Conditions (“Terms”) are a binding agreement between you and Rapid Squares, LLC, a Texas limited liability company. They govern your access to rapidsquares.com, your account, and every report, sketch, measurement, diagram, data file, and deliverable we produce (each, a “Report”).
By creating an account, placing an order, or using a Report, you agree to these Terms. If you are agreeing on behalf of a company, you represent that you have authority to bind that company, and “you” refers to both you and that company.
2.1 Eligibility and accounts
You must be at least 18 years old and able to form a binding contract. The Services are intended for commercial and professional use by contractors, adjusters, estimators, insurers, property professionals, and similar users. You are responsible for the accuracy of your account information, for keeping your credentials confidential, and for all activity under your account. Notify us immediately of unauthorized use.
2.2 What a Report is
A Report is a remote estimate. We produce measurements and diagrams from aerial imagery, satellite imagery, property data, and other remote sources using software and human review. A Report is not a physical inspection, a survey, an engineering study, a structural assessment, a code compliance review, an appraisal, or a legal opinion. No one from Rapid Squares visits, climbs, enters, or physically inspects the property. A Report describes what is visible in the imagery available to us at the time of production.
2.3 Your responsibilities when ordering
You are responsible for submitting a complete and correct property address and for identifying the correct structure when a parcel contains more than one. You represent that you have a legitimate business reason to obtain a Report for that property and that ordering it does not violate any law or any obligation you owe to the property owner or a third party.
Orders placed with an incorrect address, an incorrect structure selection, or insufficient identifying detail may be delivered as ordered and are not eligible for a free correction under the Accuracy Guarantee. Review your order before submitting it.
2.4 Turnaround times
Any turnaround time we publish or quote — including rapid or same-hour delivery — is a target based on typical conditions, not a guarantee. Delivery can take longer due to imagery availability, imagery quality, roof complexity, tree cover, new construction, weather, volume, provider outages, or manual review. Delayed delivery is not a breach of these Terms and does not, by itself, entitle you to a refund. If we determine we cannot produce a usable Report for a property, we will tell you and refund that order.
2.5 Pricing and payment
Prices are shown at checkout in U.S. dollars and may change at any time; the price in effect when you place an order applies to that order. Payment is due at the time of order unless we have agreed in writing to invoice or credit terms. You authorize us and our payment processors to charge your selected payment method for the order total, applicable taxes, and any agreed recurring or account fees. You are responsible for all taxes other than taxes on our net income. Past-due invoiced amounts may accrue interest at the lesser of 1.5% per month or the maximum rate permitted by law, plus reasonable costs of collection. We may suspend delivery or account access while an account is past due.
2.6 License to use a Report
When your order is paid in full, we grant you a limited, non-exclusive, non-transferable, revocable license to use the Report for your own internal business purposes in connection with the specific property it covers — including preparing estimates, bids, claims, supplements, scopes of work, and material orders — and to share it with parties directly involved in that project, such as the property owner, your customer, an adjuster, or a carrier.
You may not:
- Resell, sublicense, rent, syndicate, or redistribute a Report as a standalone product or as part of a competing measurement or reporting service.
- Remove, obscure, alter, or crop out our name, logo, disclaimers, watermarks, or copyright notices.
- Present a Report, or data extracted from it, as your own work product or as the work product of another measurement provider.
- Alter a Report’s measurements or imagery and continue to present it as a Rapid Squares Report.
- Use a Report to build, train, benchmark, or improve a competing product, dataset, or model.
- Scrape, crawl, harvest, reverse engineer, or systematically extract data from the Services.
- Share account credentials, or use the Services to order Reports on behalf of unrelated third parties as a pass-through reseller, without our written agreement.
2.7 Intellectual property
Rapid Squares and its licensors own all right, title, and interest in the Services, the software and processes used to produce Reports, the Report format, layout, styling, and templates, and all underlying imagery and data, along with all associated copyrights, trademarks, and trade secrets. Third-party imagery in a Report is licensed to us by its providers and remains subject to their rights. Nothing in these Terms transfers ownership to you; you receive only the license in Section 2.6.
You retain ownership of the content you submit to us. You grant us a license to use, store, reproduce, and process that content as needed to provide the Services and to keep records.
2.8 Acceptable use
You agree not to use the Services to violate any law; infringe anyone’s rights; harass, stalk, or surveil any person; interfere with or overload our systems; probe or bypass security or authentication; introduce malicious code; or misrepresent your identity or affiliation. We may suspend or terminate access for conduct that, in our reasonable judgment, violates these Terms or creates risk for us or other users.
2.9 Disclaimer of warranties
THE SERVICES AND ALL REPORTS ARE PROVIDED “AS IS” AND “AS AVAILABLE,” WITH ALL FAULTS. TO THE FULLEST EXTENT PERMITTED BY LAW, RAPID SQUARES DISCLAIMS ALL WARRANTIES, EXPRESS, IMPLIED, AND STATUTORY, INCLUDING THE IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, ACCURACY, AND NON-INFRINGEMENT.
RAPID SQUARES MAKES NO WARRANTY THAT ANY REPORT IS ACCURATE, COMPLETE, CURRENT, ERROR-FREE, OR SUITABLE FOR ANY PARTICULAR PURPOSE, AND MAKES NO WARRANTY THAT THE SERVICES WILL BE UNINTERRUPTED, TIMELY, OR SECURE. MEASUREMENTS, AREAS, PITCHES, LINEAR FOOTAGES, WASTE FACTORS, MATERIAL QUANTITIES, AND ANY COST OR PRICING FIGURES ARE ESTIMATES DERIVED FROM REMOTE IMAGERY AND ARE SUBJECT TO ERROR.
THE SOLE AND EXCLUSIVE REMEDY FOR AN INACCURATE REPORT IS THE REMEDY SET OUT IN THE ACCURACY GUARANTEE BELOW.
2.10 Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY LAW, RAPID SQUARES AND ITS MEMBERS, MANAGERS, OFFICERS, EMPLOYEES, CONTRACTORS, AGENTS, AFFILIATES, SUPPLIERS, AND LICENSORS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR ANY LOST PROFITS, LOST REVENUE, LOST BUSINESS, LOST DATA, COST OF SUBSTITUTE SERVICES, MATERIAL OVERAGES OR SHORTAGES, WASTED OR RETURNED MATERIALS, RESTOCKING FEES, LABOR COSTS, REWORK, JOB DELAYS, DENIED OR UNDERPAID CLAIMS, PENALTIES, OR REPUTATIONAL HARM, ARISING OUT OF OR RELATED TO THE SERVICES OR ANY REPORT, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES AND REGARDLESS OF THE THEORY OF LIABILITY.
RAPID SQUARES’ TOTAL AGGREGATE LIABILITY ARISING OUT OF OR RELATED TO THE SERVICES OR ANY REPORT WILL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU ACTUALLY PAID TO RAPID SQUARES FOR THE SPECIFIC REPORT GIVING RISE TO THE CLAIM, OR (B) FIFTY U.S. DOLLARS ($50.00).
SOME JURISDICTIONS DO NOT ALLOW CERTAIN LIMITATIONS, SO SOME OF THE ABOVE MAY NOT APPLY TO YOU. THESE LIMITATIONS ARE A FUNDAMENTAL BASIS OF THE BARGAIN AND APPLY EVEN IF A LIMITED REMEDY FAILS OF ITS ESSENTIAL PURPOSE.
2.11 Indemnification
You agree to defend, indemnify, and hold harmless Rapid Squares and its members, managers, officers, employees, contractors, agents, affiliates, suppliers, and licensors from and against any claim, demand, action, loss, liability, damage, judgment, settlement, cost, or expense — including reasonable attorneys’ fees — arising out of or connected with your use or possession of a Report, your breach of these Terms, your violation of any law or third-party right, your representations to your own customers, carriers, or claimants, or any dispute between you and a third party relating to a Report.
2.12 Third-party data and imagery
Reports incorporate imagery and data licensed from third parties. We do not control the capture date, resolution, coverage, obstruction, or accuracy of that source material, and we are not responsible for errors originating in it. Imagery may be months or years old and may not reflect recent construction, storm damage, repairs, additions, or demolition.
2.13 Suspension and termination
You may stop using the Services at any time and may request account closure. We may suspend or terminate your account or access, with or without notice, for breach of these Terms, non-payment, suspected fraud or abuse, or as required by law. Sections that by their nature should survive — including 2.6 through 2.15 and the Accuracy Guarantee and Refund Policy — survive termination.
2.14 Governing law and venue
These Terms are governed by the laws of the State of Texas, without regard to its conflict of laws rules. You agree that the exclusive venue for any dispute arising out of or relating to the Services, any Report, or these Terms is the state or federal courts located in Travis County, Texas, and you consent to personal jurisdiction there. Any claim must be brought within one (1) year after it arises, or it is permanently barred, to the extent permitted by law.
2.15 General
- Entire agreement. These Terms, together with the Privacy Policy, Accuracy Guarantee, and Refund Policy on this page, are the entire agreement between you and Rapid Squares regarding the Services and supersede all prior or contemporaneous understandings, whether written or oral. Any purchase order or vendor form terms you issue are rejected and have no effect unless we sign them.
- Changes. We may update these Terms by posting a revised version with a new “Last updated” date. Changes apply to orders placed after posting. Continued use means acceptance.
- Severability. If any provision is held unenforceable, it will be modified to the minimum extent necessary and the rest remains in effect.
- No waiver. Our failure to enforce a provision is not a waiver of it.
- Assignment. You may not assign these Terms without our written consent. We may assign them in connection with a merger, acquisition, or sale of assets.
- Independent contractors. Nothing here creates a partnership, joint venture, employment, or agency relationship.
- Force majeure. We are not liable for delays or failures caused by events beyond our reasonable control, including outages, provider failures, natural disasters, and acts of government.
- Notices. We may send notices to the email on your account. Notices to us must be sent to the address in the Contact section.
3. Accuracy Guarantee
We stand behind our work. If a Report contains an error, we will correct it to the best of our ability at no charge, and if we cannot correct it, we will refund it. That is the guarantee, stated plainly — and it is the sole and exclusive remedy for an inaccurate Report.
Verify before you buy materials
Every Report is an estimate produced from remote imagery. Always verify final measurements on site before ordering materials, submitting a bid, signing a contract, finalizing a claim, or committing money. Field verification is the last step in every accurate takeoff, and it is your responsibility. Rapid Squares is not liable for material overages or shortages, labor costs, rework, job delays, or claim outcomes resulting from reliance on an unverified Report.
3.1 What we guarantee
If you find an error in a Report — a missed facet, an incorrect pitch, a wrong structure, a mismeasured length, a diagram that does not match the roof — tell us. We will re-examine the property, pull additional or newer imagery where available, and correct the Report at no charge. We will do everything within reason to make it right.
If we determine the Report cannot be corrected to a usable standard — for example, because no adequate imagery exists for the property — we will refund the order in full.
3.2 How to request a correction
- When to submit — within 30 days of delivery, and before you rely on the Report to order materials or finalize a claim.
- Where to submit — reply to your delivery email, or contact us using the details in the Contact section. Include your order number.
- What to include — the specific measurement or element you believe is wrong, what you believe the correct value is, and supporting evidence such as field measurements, dated photos, a survey, plans, or a competing report.
- What happens next — we review, and if a correction is warranted we issue a revised Report. If we disagree, we will explain why and show you what the imagery supports.
A general statement that a Report “looks wrong,” without identifying what is wrong, is not enough for us to act on. The more specific you are, the faster we can fix it.
3.3 What the guarantee does not cover
The guarantee covers errors in our work. It does not cover:
- Wrong address or wrong structure. Reports produced accurately for the address and structure you submitted, when that was not the property you intended.
- Changes after imagery capture. Construction, additions, demolition, storm damage, or repairs that occurred after the most recent available imagery was captured.
- Obstructed or hidden areas. Roof areas concealed by tree canopy, snow, shadow, solar panels, equipment, tarps, or other obstructions, where we noted the limitation or where the obstruction is visible in the Report imagery.
- Judgment items. Waste factors, material quantities, pricing, labor, and any cost figures. These are calculated from the measurements using standard assumptions and are not measurements themselves.
- Non-roof and interior conditions. Decking condition, structural integrity, existing layers, ventilation adequacy, code requirements, or anything not visible from above.
- Differences of method. Variance from another provider’s report, from an adjuster’s figures, or from an estimating platform’s calculations, where our measurements are supportable from the imagery. Different providers use different rounding, overhang treatment, and area conventions.
- Downstream costs. Materials already purchased, work already performed, bids already submitted, or claims already settled based on an unverified Report.
3.4 Tolerance
Remote measurement carries inherent variance. Minor differences between a Report and a field tape — within the normal tolerance of aerial measurement, and within the range covered by standard waste factors — are expected and are not errors. We will still review any discrepancy you raise, but a small variance on a complex or partially obstructed roof does not by itself indicate a defect in the Report.
3.5 Exclusive remedy
Correction of the Report, or a refund of the amount paid for that Report if correction is not possible, is your sole and exclusive remedy for any inaccuracy. This guarantee does not expand the warranties or liability limits in Sections 2.9 and 2.10, and nothing in it makes Rapid Squares responsible for the consequences of relying on a Report without field verification.
4. Refund Policy
Reports are custom digital products, produced to order for a specific property. Once a Report has been produced and delivered, it cannot be returned. Our approach is correction first, refund when correction is not possible.
4.1 When we refund in full
- We cannot produce the Report. No usable imagery exists for the property, the structure cannot be identified, or the property falls outside our coverage or complexity limits.
- An uncorrectable error. A Report contains an error we cannot correct to a usable standard under the Accuracy Guarantee.
- Duplicate orders. The same property and report type ordered more than once in error — tell us and we will refund the duplicate.
- Billing errors. An incorrect charge, a double charge, or a charge on a cancelled order.
- Unauthorized use. A verified unauthorized charge on your payment method.
4.2 Cancellations
You may cancel an order for a full refund any time before production begins. Because turnaround is fast, production often begins within minutes of checkout — contact us immediately if you need to cancel. Once a Report has been produced, the order is no longer cancellable and is handled under the Accuracy Guarantee instead.
4.3 When we do not refund
- A Report delivered accurately for the address and structure you submitted, where you meant to order a different property.
- A Report you no longer need — the job fell through, the claim closed, the customer cancelled, or you ordered by mistake after delivery.
- A Report you did not download, open, or use.
- Dissatisfaction with the format, layout, level of detail, or file type of a Report that matches its published description.
- Delivery later than an estimated turnaround time, where the Report itself is usable.
- An error you brought to us more than 30 days after delivery, or after you already relied on the Report to purchase materials or settle a claim.
- Any request where we have offered a correction under the Accuracy Guarantee and you have declined to let us make it.
4.4 How to request a refund
Contact us with your order number and the reason for the request using the details in the Contact section. We review requests promptly and will tell you our decision in writing. Approved refunds are issued to the original payment method. Most refunds post within 5–10 business days, depending on your bank or card issuer. We do not issue refunds by cash, check, or to a different payment method.
4.5 Account credit
In some cases we may offer account credit instead of a refund. Credit is applied to your account, has no cash value, is not transferable, and expires twelve (12) months after issue unless we say otherwise. You are never required to accept credit in place of a refund you are entitled to under this policy.
4.6 Chargebacks
If you have a billing concern, contact us first — we can almost always resolve it faster than a dispute can. Filing a chargeback without contacting us may result in suspension of your account until the dispute is resolved. We will supply the payment processor with order records, delivery confirmation, and the Report itself in response to a dispute. Accounts with a pattern of chargebacks may be closed and refused future service.
4.7 Effect of a refund
When we refund a Report, the license granted in Section 2.6 terminates immediately. You must stop using the Report, delete your copies, and stop distributing it to third parties.
